Coronavirus and support for our suppliers

Supplier Relief due to COVID-19

We appreciate the commitment and support from our contracted suppliers to maintain services and supplies to the Council during the COVID-19 outbreak.

During this period we want to work together with our suppliers to provide support where we can to any suppliers struggling to meet their contractual obligations or those who may have been adversely affected by the need to suspend services or change ways of working.

We want to work together to support our contracted suppliers so that we can all be in a positive position to resume normal contract service delivery as soon as possible once the COVID-19 guidance allows.

Supplier Relief

Every contract has its own unique characteristics and the support needed will vary case by case. Suppliers however may request support with regard to

  • Accelerated invoice payment
  • Increased frequency of invoicing
  • Some payment in advance or on order (not receipt)
  • Change to delivery locations, frequency and timing of delivery
  • Extension of time for contract performance
  • Revised milestones or delivery dates

Supplier relief is currently available up to the end of June 2020 and this date may be extended further.

Requesting Relief

In order to request relief, suppliers are requested to complete the supplied Request for Information (RFI). Suppliers must acknowledge there are commitments which you will need to make for the Council to be able to give these reliefs to you. We share details of these with you in Appendix 1, which sets out a draft contract variation notice. On agreement to reliefs, the Council will finalise this with you. The RFI sets this out in more detail.

Offering Support

The Council also is seeking assistance from suppliers. Whilst we have contracts with you for specific services, we are aware that some providers may be able to offer more or alternative goods or services which may help the Council in its response to COVID-19. Should you wish to offer this, please complete the relevant section on the RFI. Please note that asking for relief is not contingent on you making an offer of assistance nor is making an offer of assistance contingent on you requesting relief.
